UCGD partnered with Folio3 to transition from a fragmented system of QuickBooks to NetSuite with the implementation of NetSuite SuiteSuccess Services Standard edition. 

The primary goal of this partnership was to migrate historical financial data and simplify multi-subsidiary financial consolidations. 

UCGD expected a solution with custom segments and automated tax handling based on job locations. Additionally, they have planned future enhancements such as implementing NetSuite Inventory Management and integrating NetSuite with Salesforce CRM to improve visibility and efficiency across departments.

The Challenge

  • It was difficult for them to integrate QuickBooks and Salesforce using MuleSoft.
  • They needed to migrate historical financial data from QuickBooks to NetSuite.
  • There was a lack of core financial functionalities like GL, AR, AP, and tax management in the existing setup.
  • They were facing difficulties with financial consolidation across 14 subsidiaries using QuickBooks Desktop.

Folio3 implemented a comprehensive migration and NetSuite ERP setup, which included the following:

  • General Accounting, COA, Departments, Locations, Product, Job, Sector and Subsidiary Management.
  • Configuration of Job Custom Segments to track job-specific details across transactions.
  • Integrated Google Maps with Job Segment in order to define accurate Location of the Job with respect to City and Zip.
  • Configure journal entries, bank deposits, bank feeds, advanced financials, and standard reports.
  • Establish a Basic Item Master for non-inventory and service items.
  • Set up Vendor Master, Purchase Orders, Vendor Bills, Payments, Credits, and Prepayments.
  • Configure Customer Master, Sales Orders, Invoices, Payments, and Credit Memos.
  • Configuration of Invoice and Bill PDFs based on their subsidiary structure and billing structure with Customers and Vendors.
  • Automated solution for the Purchase Tax, which creates automatic Tax Liability based on the locality of jobs.
  • Configuration of NetSuite’s financial statements and reports, such as income statements, balance sheets, cash flows, ledgers, trial balances, transaction details, sales and purchase reports, vendor/payables, and customer/receivables with respect to their custom segments and requirements.
