Summary

Folio3 integrated AA Medical’s eBay merchant account with its Oracle NetSuite ERP using the Folio3 eBay Connector to automate key business processes. The integration: 

  • Organized order management by automating the import of completed eBay orders and customer data into NetSuite.

  • Synced product listings, inventory updates, and fulfillment details between eBay and NetSuite.

  • Implemented customizations such as:
    • Syncing customers based on their eBay ID.
    • Excluding tax amounts from orders in NetSuite.
    • Creating customer deposits instead of cash sales.

The Challenges

AA Medical had several challenges that led them to seek the NetSuite eBay integration. 

  • Faced difficulties managing customer data due to guest checkouts, making customer tracking challenging.
  • Needed a solution to sync customers using eBay IDs for more accurate and streamlined data management.
  • Required orders to be imported into NetSuite without tax amounts — a feature not supported by default.
  • Sought to improve order processing by automatically creating customer deposits instead of cash sales.
  • Experienced limitations in inventory management, as only certain item types were synced, and updates required eBay item IDs.
  • Encountered challenges with complex field mapping between eBay and NetSuite, leading to time-consuming and costly modifications.

Solution

The solution for AA Medical was Folio3’s NetSuite eBay Connector. This NetSuite-certified Integration-as-a-Service product offers fully automated, end-to-end integration between eBay merchant accounts and NetSuite. This integration saves merchants valuable time and effort typically lost in manually synchronizing their eBay and NetSuite accounts and allows them to focus on improving sales. Out of the box, the NetSuite eBay Connector provided several key functionalities, including:

  • Automatic import of all ‘checkout complete’ orders along with their associated customer data from eBay to NetSuite.
  • Automatic export of item listings from NetSuite to eBay, including SKU, item description, price, and up to two item images, along with meta information.
  • Automatic updates of inventory levels for each item listing from NetSuite to eBay.
  • Updates the status of fulfilled sales orders from NetSuite on eBay automatically.
  • Exports shipping information, including shipping date, carrier details, and tracking number for fulfilled sales orders from NetSuite to eBay.
  • Maintains a complete log of all tasks performed within NetSuite.

Customizations Implemented

To further add to the functionality of the NetSuite eBay Connector for AA Medical, several customizations were identified to address their specific needs. In addition to the standard features already offered, the following customizations were implemented:

  • The integration will sync customers associated with eBay orders to NetSuite using the customer’s eBay ID as the primary identifier, rather than relying on email addresses.
  • The connector will utilize the eBay ‘BuyerId’ field to look up customers in NetSuite during the order import process.
  • The connector will automatically exclude the tax amount from the sales order created in NetSuite during the import/creation of eBay orders.
  • This exclusion indicates that AA Medical does not require the import of settlements from eBay into NetSuite.
  • The system will automatically create a customer deposit instead of a cash sale record, alongside the sales order, when orders are imported into NetSuite.
  • The tax amount will be excluded from the customer deposit created in NetSuite.
  • When AA Medical manually creates the invoice for the sales order in NetSuite, the connector will automatically apply the customer deposit to this invoice.
