Folio3 integrated the KAK Industry BigCommerce store with their NetSuite ERP using the NetSuite BigCommerce Connector to automate sales order sync, customer data management, inventory updates, and shipment tracking. We also did customizations that included multi-warehouse inventory sync, support for complex product types like kits, and tailored tax calculations.

The Challenges

KAK Industry faced multiple challenges that underscored the need for a customized integration between NetSuite and BigCommerce. 

  • KAK Industry faced a major challenge during its migration from Magento 2 to BigCommerce, which required transferring the existing NetSuite integration to the new platform.
  • The migration involved syncing all products from NetSuite to the new BigCommerce store, adding complexity to the integration process.
  • They required multi-warehouse inventory synchronization to accurately track stock levels between their Main and Missouri Warehouses.
  • Handling complex product types like kits and assembly items was difficult, as these needed to appear as simple products on BigCommerce while still managing the availability of individual components in NetSuite.
  • KAK Industry requested control over product synchronization, with newly synced items initially set to “Disabled” or “Draft” until reviewed or updated.
  • They also needed SKU-based order routing to automatically direct specific product orders to the Missouri Warehouse for fulfillment.

Solution

To address the challenges faced by KAK Industry, Folio3’s NetSuite BigCommerce Connector was implemented as the primary solution. Folio3’s NetSuite BigCommerce Connector provided the following key solutions to the challenges identified:

  • Import Customers from BigCommerce to NetSuite
  • Import Sales Orders from BigCommerce to NetSuite
  • Export Item Data from NetSuite to BigCommerce
  • Export Order Status and Shipping Info from NetSuite to BigCommerce
  • Cash Sale Sync from NetSuite to BigCommerce
  • Export Inventory Quantity from NetSuite to BigCommerce
  • Export Sales Price from NetSuite to BigCommerce
  • Refund Sync from NetSuite to BigCommerce
  • Import Individual Sales Orders from the Connector Dashboard
  • Search for Imported BigCommerce Sales Orders in NetSuite
  • Search for Imported BigCommerce Customer Records in NetSuite
  • Sync Sales Orders On Demand from BigCommerce to NetSuite
  • Sync Items On Demand from NetSuite to BigCommerce
  • Sync Refunds On Demand from NetSuite to BigCommerce

Customizations Implemented

To meet KAK Industry’s additional requirements, Folio3 implemented the following customizations:

  • Sync the consolidated inventory from the Main Warehouse and Missouri Warehouse to BigCommerce when updating stock levels.
  • Sync NetSuite kit/package items to BigCommerce as simple products, including components and quantities in the item’s description. Sync available inventory based on the lowest stock of the kit components across both warehouses.
  • Sync NetSuite assembly type items to BigCommerce as simple products, basing available inventory on the assembly item record from both warehouses (without BOM syncing).
  • Import refunds from BigCommerce into NetSuite as cash refund records instead of exporting from NetSuite.
  • Set tax on line items in NetSuite sales orders based on the Ship-To State during order import.
  • Retrieve the related NetSuite Invoice ID when importing BigCommerce orders into NetSuite.
  • Sync item SKU, name, and inventory level from NetSuite to BigCommerce in ‘Disabled’ or ‘Draft’ status on the first sync. After the first sync, only update inventory levels for existing items.
  • Display the ‘Quantity Available’ field next to each kit member/component in NetSuite. For kit components that are also kits, show the quantity available based on the lowest stock across both warehouses.

The BigCommerce–NetSuite integration helped KAK Industries eliminate manual data entry and automate key workflows along with the following results:
  • Automated synchronization of customer data, sales orders, inventory levels, order statuses, and shipping details between BigCommerce and NetSuite.
  • Reduced manual work, minimized data errors, and saved time through scheduled (non–real-time) syncing.
