How can we consolidate and analyze quality control cases in NetSuite to identify recurring issues and perform root cause analysis?

You can consolidate quality cases by setting up case records directly in the Quality Management SuiteApp and linking them to items, suppliers, or production runs. Once stored, use saved searches and SuiteAnalytics to group cases by item type, defect category, or production line. 

Exporting these results into SuiteAnalytics Workbooks lets you build pivot tables or charts to spot recurring defects. From there, root cause analysis becomes much easier because you can trace which supplier, batch, or process consistently creates issues.

In NetSuite Quality Management, go to Inspection Rule Setup and define the characteristic as a Boolean type. You’ll then add a “Pass” or “Fail” condition (for example, “Y = Pass, N = Fail” or “1 = Pass, 0 = Fail”). When inspectors record results on tablets or mobile devices, the system automatically evaluates the Boolean entry against your rule. This prevents subjective decisions, either it meets the rule or it doesn’t.

  • Standardize your inspection rules first. Define the inspection points (incoming, WIP, final goods) and link them to your items.
  • Use templates. Create reusable inspection plans so you don’t need to start from scratch for each new product.
  • Automate with workflows. Trigger inspections automatically when POs are received or when production reaches a certain stage.
  • Leverage mobile devices. Capture inspection results in real time rather than transcribing from paper.

Audit through analytics. Regularly review inspection data using saved searches to make sure workflows are being followed.

COA printing is a common pain point because the standard templates are basic. The fix usually involves:

  • Setting up a custom Advanced PDF/HTML template with the right fields (inspection results, batch number, signature).
  • Using SuiteScript to automatically pull inspection results into the COA template.
  • Testing formatting across different products to avoid missing data or overlapping fields.
    If your COAs look incomplete, check that inspection results are being stored at the lot or serial level and are linked to the transaction — missing links are the top reason data doesn’t show up.

This usually happens because the user role doesn’t have the right permissions. The tablet app filters inspection tasks by role access, so if “View” or “Edit” isn’t granted for Quality Management records, users see a blank screen. To fix it:

  1. Go to Setup > Users/Roles > Manage Roles.
  2. Open the custom role used by inspectors.

Add or adjust permissions for “Quality Management” and related records (Inspection, Specification, Item).
After updating, refresh the tablet app, and the tasks should appear correctly.

After products leave the warehouse, you can still track quality by linking customer complaints and returns to inspection cases. Use the Quality Management SuiteApp to log defects reported in the field and tie them back to specific production runs or suppliers. Analyzing this data with SuiteAnalytics lets you see if issues occur after a certain time in market (e.g., failures after 6 months). These insights help you improve supplier selection, adjust design tolerances, or update inspection rules for future batches.

Here are the top problems teams encounter and how to resolve them:

  • Missing inspection results: Check if the inspection rule was linked to the right item or transaction. Missing links mean results don’t store.

  • COA printing errors: Customize templates and confirm inspection data is tied to the right lot or batch.
