Summary

The integration is a NetSuite SuiteScript based application that manages workflows between NetSuite and the LSP 3PL system.

The Challenge

KINTO Europe was in need of automation of its 3PL operations managed via LSP.

Solution

Folio3 created a NetSuite SuiteScript based application that utilized the APIs provided by LSP Solutions, coupled with a middleware application (which was also developed by Folio3), to send and receive XML files to streamline and automate the workflows.

The integration offers the following features:

  • Automatic export of Product Master Data from NetSuite to the LSP 3PL system
  • Automatic export of ‘pending fulfilment’ Orders (along with the shipping address/information) from NetSuite to the LSP 3PL system
  • An extra field (with a 70 character limit) on the Customer record and the Sales order record in NetSuite that can be used to specify any special instructions
  • Synchronization of all/any special instructions related to the order’s fulfilment from these two fields in NetSuite, to the corresponding field (warehouse instructions or transport instructions
  • Automatic import of Item Fulfillments (Order Dispatch Confirmations), from the LSP 3PL system
  • Automatic synchronization of Return Authorizations (Return Confirmations), from the LSP 3PL system to NetSuite
  1. The integration will also synchronize the text message (if available) Generated by the 3PL(explaining why the item was returned, etc.), to NetSuite.
  • Automatic synchronization of Inventory/Stock Transfers from the LSP 3PL system to NetSuite ERP
  1. In case of stock transfers, the integration will also synchronize the message generated by the 3PL (if available) detailing what they received at the warehouse, etc., back to NetSuite.
  • Automatic export of Inventory/Stock Adjustments from the LSP 3PL system to the NetSuite ERP
  • Automatic synchronization of available inventory (for all items held by the 3PL) from the LSPSolutions’ 3PLsystemtoNetSuite.
  1. The connector will create an inventory adjustment in NetSuite against the relevant item record(s).
  • Automatic export of Transfer Orders from NetSuite to the LSP 3PL system
  • Automatic import of Transfer Orders Receipts (Transfer Order Confirmations) from the LSP 3PL system to NetSuite
  1. In this case, the integration will also synchronize the message generated by the 3PL (if available) detailing what they received at the warehouse, etc., back to NetSuite.
Customizations
  • B2B Orders Screen to display and manage:
  1. Order payment status
  2. Memo on the sales order
  3. The customer’s payment/credit terms
  4. Shipping date
  5. Ordered date (order placement date)
  6. Customer name
  7. Payment situation (paid amount & invoiced amount)
  • Automatic creation of an invoice in NetSuite, whenever a fulfillment record is created in NetSuite via the LSP 3PL system for B2B orders (i.e. orders created manually in NetSuite).
  • Automatic email alerts to KINTO’s NetSuite admin, whenever an RMA and Return Receipt is created in NetSuite by the LSP Solutions’ 3PL system.
  • Automatic email alerts to KINTO’s NetSuite admin, whenever the status of any order is changed to ‘BackOrdered’ in NetSuite.
  • When synchronizing inventory quantity available for sale from the designated NetSuite warehouse(s) to Shopify, the NetSuite Shopify connector will synchronize the inventory available based on the inventory threshold set up in NetSuite (which will be specified by KINTO), for example, 90% or 95% of the inventory quantity available within the NetSuite warehouse
  • The ability to specify the shipping carrier to be used by the 3PL, for fulfilling both B2C orders (orders imported from Shopify) and B2B orders (orders placed directly/manually in NetSuite). This will be done in the following manner.
  1. Created a custom record in NetSuite, which will hold the mapping between the countries KINTOshipsto, and the preferred shipping carrier to be used for each country.
  2. For NetSuite (B2B) orders, the shipping carrier that is mentioned on the Customer record in the “PS_SHIPPING CARRIER” field, will be used to specify the shipping carrier to be used by the 3PL, for all orders belonging to that particular customer

Result

The NetSuite LSP Solutions 3PL connector helped KINTO streamline their order management & fulfillments. While the customizations in NetSuite allowed them to manage large orders, get invoices, emails, select shipment carriers, as well as get their stats right on their screens.
